Support general HR and office administration We are seeking a highly organized and detail\-oriented HR \& Admin Assistant to support the Human Resources department with day\-to\-day administrative operations. The primary focus of this role is managing the employee onboarding process, maintaining accurate HR records, and ensuring all personnel files and HR systems are updated in a timely and compliant manner. The ideal candidate will possess excellent organizational skills, maintain strict confidentiality, and be capable of managing multiple priorities in a fast\-paced environment. Key Responsibilities HR Onboarding * Coordinate end\-to\-end onboarding activities for new employees. * Prepare employment documentation, contracts, and onboarding packages. * Ensure all required employee documents are collected prior to joining. * Schedule induction sessions and coordinate with internal departments for new hire readiness. * Liaise with IT, Administration, and relevant departments to arrange employee access, workstations, uniforms, IDs, and required equipment. * Conduct onboarding orientation and introduce company policies and procedures. * Track probation periods and support follow\-up processes. Employee Files \& HR System Management * Create, maintain, and regularly update both physical and electronic employee personnel files. * Ensure employee records remain complete, accurate, and compliant with company policies and Qatar Labour Law requirements. * Update employee information, contracts, promotions, transfers, salary changes, and other employment records in the HRIS. * Monitor document expiry dates, including passports, QIDs, visas, certifications, and employment contracts. * Maintain HR databases with a high level of accuracy and confidentiality. * Perform regular audits of personnel files and HR records to ensure compliance. HR Administration * Prepare HR letters including salary certificates, employment certificates, NOCs, and other employee documents. * Support leave administration and maintain attendance\-related records. * Assist with employee data reporting and HR documentation. * Respond to employee inquiries regarding HR policies and procedures. * Maintain HR forms, templates, and administrative documentation. * Support recruitment administration, interview scheduling, and candidate documentation when required. Administrative Support * Assist with general office administration and document control. * Organize HR files, records, and confidential documentation. * Coordinate courier services, filing, scanning, and document archiving. * Support departmental projects and perform other administrative duties as assigned. Qualifications * Bachelor's degree in Human Resources, Business Administration, or a related field. * 1–3 years of HR or administrative experience, preferably in Qatar. * Experience handling employee onboarding and HR documentation. * Familiarity with Qatar Labour Law is an advantage. * Proficiency in Microsoft Office (Word, Excel, Outlook). * Experience using HRIS systems is preferred. * Excellent verbal and written communication skills in English; Arabic is an advantage. Key Performance Indicators (KPIs) * Timely completion of employee onboarding. * Accuracy and completeness of personnel files. * HR system updates completed within agreed timelines. * Compliance with document management standards. * Employee onboarding satisfaction. * Zero lost or incomplete employee documentation. * Timely preparation of HR letters and documentation.
