




Summary: The Document Controller will manage and maintain company and project documentation, ensuring efficient filing, tracking, and retrieval of documents, and updating CRM systems. Coordinate documentation, track requests, and follow up with suppliers **Job Purpose / Basic Function:** The Document Controller will be responsible for managing and maintaining all company and project documentation in an organized and efficient manner, ensuring proper filing, tracking, and retrieval of both soft and hard copy documents. The role includes handling and updating CRM systems (such as Suite CRM/ERP), maintaining accurate records of client communications, quotations, contracts, and reports, and ensuring all data is up to date. The candidate will prepare and submit Material Requests (MR) to procurement, coordinate with suppliers, and closely follow up on approvals, RFQs, and purchase orders while maintaining proper documentation. **Duties and responsibilities:** · Track and distribute controlled documents, using the doc control procedures, format and distribution schedule. · Coordinate and administer the distribution of all incoming and outgoing documentation and paperwork to ensure controlled delivery to person(s) responsible. · Screen all incoming and outgoing documents for submission to Document Control for their proper handling. · Routing various documents to different Engineers and Document Control for proper handling. · Scan, index incoming and outgoing mail electronically. · Distinguish document handling by document type. · Establish and maintain various files developed for the project. · Prepare document searches as requested by authorized personnel. · General clerical functions to maintain a seamless office environment. · Requisition of office supplies for document control. · Carry out any other duties as and when required by the Executive Manager. · Ability to confidently and tactfully work in a mixed team environment. · Responsible for reporting on his/her supervisors’ occurrences. · Performs any other related duties and responsibilities as required or, assigned. **Qualifications:** · Bachelor’s degree from a recognized University (or) Diploma. · Experience: minimum of **4\- 7 years**. Especially in Facility Management will be an advantage.
