




In this role as a Facility Supervisor, you will be responsible to assist the Director in all matters related to Administration Department’s services to all business units of the company. You will serve as a contact point for employees based in Qatar, providing guidance and assistance on various administrative matters. This role offers many cross functional and cross\-cultural working relationship. Here are some key responsibilities to look forward to:* Planning and coordinating administrative procedures and systems and streamline processes. * Supervising day\-to\-day operations of the administrative department and staff members. * Various Approvals as per Authorization Matrix. * To follow\-up, the company's official documents like the licenses and official certificates and ensure its validity. * Vendors Allocation for all required internal services for office \& factory. * Official \& Public Authorities relationships, regular visits and communication. * Maintains an effective filing system for handling a variety of documents and reports. * Ensuring office is stocked with necessary supplies and all equipment is working and properly maintained. * Monitor inventory of office, stationary \& canteen supplies and the purchasing of new material with attention to budget. * Ensure the smooth and adequate flow of information within the company to facilitate other functions operations. * Planning, scheduling, and promoting office events, including meetings, conferences, interviews, orientations, and training sessions/workshops. * Assessing internal staff performance and provide coaching and guidance to ensure maximum efficiency * Verifies suppliers’ invoices and identify allocation of costs for cross\-charging purposes. * To provide administration support to all employees by providing smart solutions for work problems * Shall perform other related jobs/ tasks as required. * Ensure compliance with local regulatory HSE requirements * Identify potential and actual areas of improvement and assist in setting and formulating goals and tools for their achievement. * Conducts \& Monitor HSE audits (Safety Walk, Near Miss, Sustainability \& waste mapping). * Assists in the implementing and maintaining of the certification of ISO 9001, OHSAS 18001 and ISO 14001\. Furthermore, we expect that you have* University Degree in Business Administration or relative field. * Proven experience as Executive Secretary or similar administrative role. * Proficient computer skills, Microsoft Office Suite (Word, PowerPoint, Outlook and Excel). * Proficiency in English. * Exemplary planning and time management skills. * Up to date with advancement in office gadgets and applications. * Ability to multi\-task and prioritize daily workload. * High level of verbal and written communications skills. * Discretion and confidentiality.
