Summary: This role involves comprehensive sales support, managing quotations, processing purchase orders, coordinating production, tracking timelines, and resolving issues to ensure smooth order fulfillment. Sales Support \& Quotation Management * **Prepare \& Issue Quotations:** Draft accurate price quotations and proforma invoices based on pricing guidelines and sales team inputs. * **Quotation Follow\-Up:** Proactively follow up with clients on submitted quotes to secure orders, address minor queries, and report feedback to the sales team. * **Customer Liaison:** Act as a primary point of contact for client inquiries regarding pricing, availability, and order status. 2\. Purchase Order (PO) Processing \& Tracking * **PO Verification:** Review incoming customer POs for accuracy (pricing, quantities, delivery terms, and payment terms) against the original quotations. * **Order Entry:** Systematically enter approved POs into the company’s ERP/CRM software. * **Payment Follow\-Up:** Coordinate with the accounts department and clients to ensure advance payments or credit approvals are cleared before production begins. 3\. Production Coordination \& Timeline Tracking * **Production Planning Liaison:** Translate confirmed POs into production orders and communicate client specifications and deadlines clearly to the production floor. * **Status Monitoring:** Track the daily progress of orders on the production floor to ensure timelines are being met. * **Logistics \& Delivery Coordination:** Coordinate with the logistics/shipping team to arrange dispatch once production is complete, and provide tracking details to the client. 4\. Problem Resolution \& Reporting * **Delay Management:** Identify potential production or shipping delays early, and proactively communicate solutions to both the sales team and the client. * **Data Maintenance:** Keep the sales and production dashboards up to date. * **Reporting:** Prepare weekly/monthly reports on quotation conversion rates, pending POs, and order fulfillment status.
