Ensure smooth workflow and provide excellent customer service The Body Shop Administrator is responsible for supporting the day\-to\-day administrative operations of the automotive body shop. The role involves coordinating repair documentation, maintaining customer and insurance records, managing job cards, tracking vehicle progress, coordinating with technicians, vendors, and parts departments, and ensuring smooth workflow while providing excellent customer service. **Key Responsibilities** * Prepare, maintain, and update repair orders, job cards, and customer records. * Coordinate vehicle intake and delivery schedules. * Liaise with customers regarding repair status and estimated completion dates. * Coordinate with insurance companies for approvals, claims, and documentation. * Process purchase orders, invoices, and supplier payments. * Coordinate with the parts department to ensure timely availability of spare parts. * Maintain inventory records for body shop consumables and office supplies. * Prepare daily, weekly, and monthly operational reports. * Maintain accurate filing of repair documents, estimates, invoices, and warranty records. * Support the Body Shop Manager in scheduling jobs and monitoring workflow. * Record technician attendance and maintain administrative records. * Handle customer inquiries, telephone calls, emails, and appointment scheduling. * Ensure compliance with company policies, safety standards, and documentation procedures. * Assist in coordinating external vendor services and subcontracted repairs when required. * Perform other administrative duties assigned by the Body Shop Manager.
