Maintain organized records and handle confidential information Secretary Department: Administration / Office Support Reporting To: Department Manager / Senior Management Job Purpose: To provide efficient administrative and secretarial support, ensuring smooth daily operations, effective communication, document control, and coordination of office activities. Key Responsibilities:1\. Administrative Support * Manage daily administrative tasks and provide support to management and team members. * Maintain organized filing systems (physical and electronic). * Prepare, format, and maintain reports, letters, presentations, and official documents. * Handle confidential information with professionalism and discretion. 2\. Communication \& Coordination * Manage incoming and outgoing communications, including emails, calls, and correspondence. * Coordinate meetings, prepare agendas, and record meeting minutes when required. * Follow up on pending actions and ensure timely completion. * Coordinate with internal departments and external parties. 3\. Document Control * Maintain accurate records and ensure proper document management. * Track approvals, signatures, and document submissions. * Ensure documents are updated and accessible when required. 4\. Calendar \& Meeting Management * Manage appointments, schedules, and meeting arrangements. * Coordinate travel arrangements, bookings, and related requirements when needed. * Ensure management is informed of upcoming commitments. 5\. Reporting \& Follow\-Up * Prepare regular administrative reports. * Monitor assigned tasks and provide status updates. * Support management with data collection and analysis. Required Qualifications: * Diploma or Bachelor’s degree in Business Administration or related field preferred. * Previous experience as a Secretary, Administrative Assistant, or similar role. * Strong organizational and time management skills. * Excellent written and verbal communication skills. * Proficiency in Microsoft Office applications. * Ability to handle confidential information.
