Description

Summary: This role involves coordinating gate passes, managing timekeeping, and performing diverse administrative tasks to support HR and project operations. Highlights: 1. Opportunity to manage essential gate pass and access control procedures. 2. Key role in accurate timekeeping and payroll documentation. 3. Diverse administrative responsibilities supporting project and HR functions. Key ResponsibilitiesGate Pass Coordination * Issue, renew, and maintain employee, visitor, contractor, vehicle, and material gate passes. * Verify approvals and supporting documents before issuing gate passes. * Coordinate with security personnel to control site access. * Maintain accurate gate pass records and logs. * Monitor gate pass validity and ensure timely renewals. * Prepare daily and monthly gate pass reports. Timekeeping * Record daily attendance of employees and subcontractor personnel. * Prepare and verify timesheets for payroll processing. * Monitor overtime, leave, absenteeism, and shift schedules. * Coordinate with supervisors to resolve attendance discrepancies. * Maintain accurate manpower records and daily workforce reports. * Submit attendance and manpower reports to HR and project management. Administration * Maintain employee personnel files and administrative records. * Coordinate onboarding documentation for new employees and contractors. * Prepare letters, reports, and administrative correspondence. * Arrange site access, accommodation, transportation, and office logistics as required. * Maintain office supplies and administrative inventory. * Support audits by providing accurate documentation and records. * Ensure compliance with company policies, security procedures, and HSE requirements. Qualifications * Diploma or Bachelor's degree in Business Administration, Human Resources, or a related field. * 2–5 years of experience in administration, timekeeping, gate pass coordination, or HR support. * Experience in construction, oil \& gas, manufacturing, or industrial projects is preferred. Required Skills * Strong organizational and multitasking skills. * Excellent communication and interpersonal abilities. * Proficiency in Microsoft Office (Excel, Word, Outlook). * Knowledge of timekeeping and payroll documentation. * Attention to detail and accuracy in record keeping. * Ability to work under pressure and meet deadlines. Key Performance Indicators (KPIs) * Accuracy of attendance and timesheet records. * Timely processing of gate passes. * Compliance with security and company procedures. * Accuracy of administrative documentation. * Timely submission of reports. * Audit readiness and document control compliance. * Employee and department support satisfaction.
