Job Summary: A Procurement Officer responsible for facility management and real estate maintenance, who plans and executes procurement activities and manages contracts and suppliers to ensure optimal service delivery. Analyzing markets and identifying new suppliers for innovative solutions Procurement Officer – Facility Management and Real Estate Maintenance Responsibilities and Duties · Plan and execute all procurement activities related to facility management and real estate maintenance in accordance with company policies and procedures. · Receive and analyze purchase requests, ensuring alignment with budgets and operational requirements. · Prepare requests for quotations (RFQs) or proposals (RFPs), receive and evaluate bids technically and financially, and prepare bid recommendation reports. · Negotiate with suppliers and contractors to secure optimal pricing, payment terms, warranty periods, and delivery schedules. · Manage procurement of maintenance materials and equipment, including HVAC systems, electrical works, plumbing, painting, construction materials, spare parts, tools, and equipment. · Manage contracting for facility management services such as cleaning, security, pest control, elevator maintenance, fire suppression systems, generators, landscaping, and other operational services. · Prepare and manage annual maintenance contracts (AMCs) and service level agreements (SLAs), and monitor supplier and contractor compliance with contractual terms. · Evaluate and approve suppliers and contractors, maintain a qualified supplier database, and continuously enhance it. · Track purchase orders through to final delivery and receipt, verifying that materials and services meet approved specifications. · Coordinate continuously with operations, maintenance, and engineering teams to identify technical requirements and ensure uninterrupted business continuity. · Monitor inventory levels of critical materials and spare parts, and develop replenishment plans to prevent stockouts. · Prepare annual procurement plans and participate in developing estimated budgets for facility management procurement. · Work under pressure and as part of a team. · Analyze markets and identify new suppliers and innovative solutions to reduce costs and improve service quality. · Monitor supplier key performance indicators (KPIs), such as on-time delivery, service quality, and responsiveness to emergency breakdowns. · Prepare periodic procurement reports covering savings achieved, contract status, supplier performance, and submit them to management. · Ensure compliance with internal policies, procurement policies, legal regulations, and best practices across all procurement and contracting activities. · Contribute to initiatives aimed at improving operational efficiency, reducing costs, and enhancing sustainability in facility management operations. Required Experience · Minimum 5–7 years of procurement experience, including at least 3 years in facility management (FM) or real estate maintenance procurement. · Practical experience in procuring maintenance materials and equipment, including HVAC systems, electrical works, plumbing, construction materials, and spare parts. · Experience in supplier and contractor management and evaluation, price and contract negotiation, and SLA negotiation. · Experience in preparing and evaluating RFQs/RFPs, conducting technical and financial comparisons, and awarding contracts. · Good knowledge of annual maintenance contracts (AMCs), service contracts, and supplier performance management. · Experience using enterprise resource planning (ERP) systems such as Odoo, Oracle, SAP, Microsoft Dynamics, or equivalent. · Proficiency in Microsoft Excel and preparing procurement reports and data analysis. · Solid understanding of the facility management and maintenance materials supplier and contractor market. · Preference given to candidates with experience in facility management companies, real estate development firms, construction companies, hotels, hospitals, shopping malls, or residential and commercial towers. · Ability to work under pressure and efficiently manage urgent and emergency procurement. · Relevant academic qualification Pay: From QAR7,000\.00 per month Work Location: In person
