POSITION SUMMARY: The Administrative \& Operations Coordinator is responsible for providing proactive and collaborative assistance to the operations of the international business units, supporting administration, sales, production and engineering/installation. This individual will provide administrative support to our Qatar office, including communication with internal and external customers, project management, meeting and event planning, training coordination, and recordkeeping. POSITION DUTIES AND RESPONSIBILITIES: : * Provide administrative support such as answering incoming phone calls, distributing mail, filing, data entry, and documenting meeting minutes. * Coordinate and consolidate requirements for deployment including visa applications, travel clearances, screenings, equipment needs, travel bookings and accommodations as required by the project or for employee’s business trip. * Ensure clean, stocked and safe work environment by procuring office and pantry supplies and scheduling all preventive maintenance of equipment in the office as required, sourcing vendors for repair, tracking equipment inventory and proposing new processes and equipment as needed. * Assist in the coordination and planning of meetings, events and training sessions, including the scheduling of travel and accommodations for such events. * Collaborate with sales, production and field personnel to understand and meet internal and external customer and project needs. * Coordinate with field team to ensure that resources needed for successful project completion (staffing, equipment, training, vehicles, etc.) have been secured in an effective and timely manner. * Review Daily Status Updates (DSU's) to check project progress and ensure KPI's are being met for all service\-related projects. * Provide daily summaries of project progress and KPI performance to management based on DSU updates. * Prepare and deliver a weekly summary of project progress and KPI's for management review. * Update and maintain project plans in Smartsheet (daily/weekly) to reflect progress captured in DSU's. * Notify management of any changes to the project schedule based on daily update progress. * Support data consolidation and reporting requirements for ongoing service projects. * Collaborate with Operations Management to maintain database of field employee safety certifications. * Responsible for field and customer inquiries as they come in and provides prompt and accurate responses. * All other duties as assigned. KNOWLEDGE AND SKILL REQUIREMENTS: * Bachelor’s Degree in Business Administration or related field preferred. * At least 2 years’ experience working in a Sales, Customer Service and/or Administrative position, with experience in a multinational setting is a plus. * Exceptional attention to detail and ability to deliver error\-free work. * Must be self\-directed; able to manage time and projects independently in a fast\-paced, deadline\-driven environment. * Solid communication skills both in writing and verbally – ability to prepare effective written communications as well as ability to effectively communicate with customers both verbally and in writing. * Excellent organizational skills, prioritization and multi\-tasking skills – ability to track and monitor progress of projects effectively. * Advanced skills in MS Office Suite (Word, Excel, Outlook, Teams, PowerPoint). * Experience with SmartSheet preferred. * Ability to interpret project data and communicate findings clearly. * Accepts responsibility and meets deadlines, ability to achieve results when confronted with obstacles; applies ethical standards of behavior to daily work. * Working knowledge of sales processes and project execution preferred.
