Their duties include answering and redirecting phone calls, scheduling meetings and providing personalized support for other employees in their office. * Perform administrative tasks, including filing and photocopying * Write emails, memos and letters * Implement and/or develop office procedures and record systems * Manage database entry and client files * Order and maintain supplies * Document financial information * Organize and distribute messages * Make and confirm travel arrangements * Prepare and mail outgoing correspondence * Set up and maintain an efficient document control system ,Receive, review, log, distribute, and archive technical and non\-technical documents, including drawings, specifications, RFIs, submittals, transmittals, contracts, and reports. * Ensure version control and document numbering is consistent and accurate across all project files. * Liaise with project managers, engineers, contractors, suppliers, and clients to ensure smooth document flow. * Monitor document submission deadlines and ensure timely delivery and approval cycles. * Prepare regular document status reports, tracking progress, outstanding actions, and pending approvals. * 3\+ years of experience in document control, preferably on industrial or large\-scale projects. * Strong knowledge of document control standards, procedures, and best practices. * Excellent organizational skills, attention to detail, and ability to manage multiple tasks. * Strong communication and coordination abilities across multidisciplinary teams. * Proficient in MS Office (Word, Excel, Outlook) and file management systems. * Ability to work under pressure and meet tight deadlines.
