Summary: Seeking an organized and detail-oriented professional to coordinate communications, manage documents, track projects, and provide administrative support within a fast-paced environment. Support audit readiness and maintain documentation standards Key Responsibilities: * Organize and maintain Communications section calendars, including scheduling meetings, workshops, and official engagements. * Act as a primary coordination point for internal and external stakeholders, ensuring timely and professional communication. * Prepare, format, process, and track official documents such as correspondence, memos, reports, forms, meeting minutes, leave schedules, and media coverage schedules. * Maintain accurate and well\-structured digital and physical filing systems in line with documentation and confidentiality requirements. * Track progress of Communications projects and initiatives and provide regular status updates to management. * Monitor deadlines, pending actions, and potential risks to ensure timely task completion. * Support tracking of project\-related KPIs and ensure timely submission of departmental deliverables. * Prepare monthly internal reports summarizing section activities, completed tasks, and outstanding items. * Maintain task trackers, logs, and follow\-up sheets using Excel and SharePoint. **Manage requests submitted through the APEX system, ensuring accurate and timely routing to the appropriate managers or departments.** * Coordinate with relevant departments to collect required information and follow up until requests are completed within approved timelines. * **Operate the Correspondence Tracking System (CTS), ensuring proper registration, follow\-up, closure, and documentation of all correspondence.** * Ensure compliance with client’s internal workflow systems and administrative procedures. * Ensure Communications section deliverables comply with approved quality standards, formatting requirements, and approval workflows. * Adhere to ISO standards and contribute to maintaining consistency, accuracy, and completeness of documentation. * Support audit readiness by ensuring records are up to date, accessible, complete, and compliant with corporate policies. * Utilize MS Office applications to prepare spreadsheets, trackers, logs, correspondence, and reports. * Maintain departmental databases and structured documentation repositories. * Develop clear and professional PowerPoint presentations for internal briefings and management reviews. * Provide administrative and technical support for the preparation of briefings, reports, and presentations required by PR \& Communications leadership. Qualifications \& Experience: * Bachelor’s degree in Business Administration, Office Management, Project Support, or a related field. * 3–5 years of experience in administrative coordination, technical support, or project assistance roles. * Experience working within large organizations or government entities is preferred. * Prior experience using enterprise workflow systems such as APEX and CTS is highly desirable. * Strong organizational and time\-management skills with the ability to manage multiple tasks and deadlines. * Excellent written and verbal communication skills in Arabic and English. • High attention to detail with a strong focus on accuracy, consistency, and documentation quality. * Strong coordination, follow\-up, and stakeholder management capabilities. * Ability to work independently and collaboratively in a fast\-paced environment. * Proficiency in MS Office applications (Word, Excel, PowerPoint, Outlook). * Ability to develop structured documents, trackers, logs, and basic dashboards efficiently.
