Description

Summary: This role provides comprehensive administrative and secretarial support, coordinating office operations, managing documents, and assisting various teams. Highlights: 1. Provide comprehensive administrative and secretarial support 2. Coordinate office activities and operations for efficiency 3. Support estimating and bid proposal teams · Provide full secretarial and administrative support to office personnel. · Coordinating office activities and operations to secure efficiency and compliance to company policies. · Keep stock of office supplies and place orders when necessary. · Arrange and prepare company meetings in\-office and off\-site, which includes managing schedules for meetings and conferences for the whole team. · Develop and manage utilization of document control database system allowing for better tracking of documents and timely receipt for distribution. · Support estimating and bid proposal teams to receive, check and validate documents regarding possible projects and job showings. · Receives and appropriately handles emails / inquiries from clients and staff in an accurate timely manner. · Facilitates information flow and action with coordinators. · Creates transmittals and files for recipients to ensure nothing is delayed that may affect bids or projects. · Keeping all important documents, invoices and contracts. · Manage phone calls and correspondence (e\-mail, letters, packages etc.). · Create and update records and databases with personnel, financial and other data. · Monitoring timecards for accuracy and making any necessary adjustments. · Reporting any timekeeping irregularities to supervisors for further investigation · Recording timekeeping data on spreadsheets or other computer software programs. · Assist colleagues whenever necessary. · Undertake any ad\-hoc admin projects/duties as required. Job Type: Full\-time Pay: QAR3,500\.00 \- QAR4,000\.00 per month
