




**Job Title:** **Personal Assistant to the Managing Director (Strategic Operations \& Business Development)** **Department:** Executive Office **Reports to:** Managing Director **Position Overview:** The Personal Assistant to the Managing Director (PA\-MD) is a strategic partner and right hand to the Managing Director, responsible for ensuring smooth execution of the company’s objectives across all departments — operations, marketing, finance, and business development. This is a **leadership\-oriented role**, not administrative. The PA\-MD acts as a *deputy MD*, ensuring that the Managing Director’s decisions, goals, and directives are implemented effectively. The role combines strategic oversight, follow\-through, analytical reporting, and proactive business expansion. **Key Responsibilities:** **1\. Strategic Execution \& Leadership Support** * Translate the MD’s strategic directives into actionable business plans and ensure timely execution. * Track and follow up on projects, operational tasks, and business initiatives across departments. * Conduct independent assessments of progress and provide concise updates and recommendations to the MD. * Represent the MD in internal and external meetings where required. * Maintain a culture of accountability, performance, and continuous improvement across teams. **2\. Operations Management** * Oversee the efficiency and performance of day\-to\-day operations across multiple brands and departments. * Ensure key deliverables, timelines, and KPIs are being met by respective teams. * Identify operational gaps, recommend improvements, and ensure corrective actions are implemented. * Monitor inventory, logistics, staffing, and customer service standards through regular reporting. **3\. Financial Oversight** * Review and summarize financial performance reports, highlighting trends, risks, and opportunities. * Liaise with finance and accounting teams to ensure accurate monthly reporting and cost controls. * Track brand\-wise profitability, budgets, and expenditures, ensuring alignment with company targets. * Assist in preparing feasibility studies, valuations, and investor reports as needed. **4\. Marketing Coordination** * Collaborate with the marketing team to plan, execute, and evaluate marketing campaigns for all F\&B brands. * Review content, budgets, and timelines before submission to the MD. * Identify and secure strategic marketing partnerships and collaborations. * Ensure consistent brand messaging, visual identity, and quality standards across all customer touchpoints. **5\. Business Development \& Growth** * Identify and pursue new business opportunities — including brand partnerships, new locations, and distribution channels. * Support the MD in developing expansion strategies for both B2B and B2C markets. * Prepare proposals, presentations, and commercial offers for new clients, investors, or partners. * Negotiate and follow up on partnership agreements, leases, and franchise opportunities. * Conduct competitive analysis and market research to support strategic decision\-making. * Build and maintain high\-level relationships with potential clients, investors, landlords, and government stakeholders. **6\. Project \& Task Management** * Maintain a comprehensive task tracker and follow\-up dashboard for the MD’s initiatives. * Ensure that all key action points are implemented and closed on schedule. * Anticipate upcoming needs, prepare briefing materials, and ensure the MD is fully informed and supported. **7\. Communication \& Reporting** * Act as a communication bridge between the MD and all departments. * Draft business summaries, reports, proposals, and presentations on behalf of the MD. * Maintain confidentiality of all strategic and financial information. * Facilitate coordination between internal teams and external partners. **Qualifications \& Skills:** * Bachelor’s Degree in Business Administration, Management, or related field (MBA preferred). * Minimum 4–6 years of experience in business operations, business development, or executive management. * Proven experience in the F\&B or retail sector is highly preferred. * Strong analytical, financial, and problem\-solving abilities. * Excellent communication, negotiation, and leadership skills. * Fluent in English (Arabic is an advantage). * Highly organized, disciplined, and capable of managing multiple priorities simultaneously. * Must possess initiative, ownership mentality, and the ability to make informed decisions. **Performance Indicators (KPIs):** * Timely execution and completion of MD’s strategic priorities. * Successful onboarding of new business partnerships and venues. * Improvement in overall operational efficiency. * Financial accuracy and reporting consistency. * Positive team coordination and communication effectiveness. * Revenue and profitability growth from new initiatives. **Personality Traits \& Work Ethic:** * Thinks like a business owner — not a task executor. * Proactive, dependable, and highly driven. * Strategic thinker with an eye for detail and execution. * Calm under pressure and solution\-oriented. * Strong interpersonal presence and leadership confidence.
